Job Description:

  • Backs up Human Resources Director in the event of absence or needed support.
  • Creates job descriptions as needed.
  • Opens jobs including creating and posting employment ads as needed.
  • Schedules and interviews job seekers.
  • Approves interview candidates after determining if minimum qualifications have been met in the Director of Human Resources' absence.
  • Processes employment applications and enters pertinent information into Excel database.
  • Performs onboarding duties to include, but not limited to, scheduling of physicals/drug screens, requesting background checks and conducting orientations.
  • Conducts new employee sign-ups, explaining company benefits, rules, and other new employee information. Schedules follow-up orientations periodically to cover more in-depth information with groups of new employees.
  • Closes jobs to include verifying that all applications and appropriate documentation are in the proper hiring files.
  • Responsible for file maintenance and proper documentation in employee files.
  • Records employee information in various Excel spreadsheets, online benefit system(s) and employee files as needed.
  • Records employee information such as personal data, compensation, benefits, tax data, attendance, performance reviews or evaluations, termination date and reason in various locations including the HR/BenefitWerks/Intact Systems.
  • Updates employee files in order to document personnel actions provides information to payroll and coordinates activities with various vendors, posts schedules and tracks information when necessary.
  • Creates and prints reports from HR Systems as needed.
  • Compiles data from personnel records and prepares reports.
  • Responsible for accurate input of insurance information into computer system networked with insurance carrier.
  • Prepares employee termination information, including COBRA notification.
  • Serves as 401(k) administrator, assisting with education, enrollment, and issues on an ongoing basis.
  • Prepares company EE0-1 report annually.
  • Maintains & updates affirmative action plan spreadsheets.
  • Reconciles insurance billing information and communicates with accounting and corporate on bills.
  • Reconciles, approves and maintains benefit-related records and invoices on a monthly basis as assigned
  • Composes internal and external correspondence as needed.
  • Reviews employee files to answer inquiries and provides information to authorized persons when requested while maintaining confidentiality.
  • Processes Family Medical Leave (FMLA) documents and maintains FMLA database for family members.
  • Participates in the coordination of and assists during Human Resources-related company events/meetings.
  • Coordinates with nurses and oversees random drug screens.
  • Posts general notices, bulletins and schedules.
  • Creates and posts schedules.
  • Provides information to payroll as needed.
  • Follows all company policies and procedures.
  • Wears personal protective equipment as required.
  • Follows proper safety procedures at all times.
  • Performs other duties as assigned.

  • Ability to accurately type a minimum of 40 WPM (words per minute).                
  • Ability to exercise a high level of independent judgement on a customary and regular basis.
  • Ability to operate office equipment (including calculator, computer, fax machine and copy machine) required.
